1. Inspectors' Profiles

1.1. Creating a profile

Inspectors work in teams to inspect Abu Dhabi's schools. The inspection service provider (ISP) chooses the  Lead Inspector and team members when planning an inspection. All inspectors must have a profile saved in this SIMS to be assigned to an inspection team.

 

Steps to creating a profile:

 

  1. Sign in to Irtiqaa System
  2. From the left-side menu, click on "Create a Profile".
  3. In the "Add Profile" screen, add the inspector's primary information: name, nationality, work availability experience, etc...
  4. Click Submit, or click Save to submit the profile later. 

The next step is to send the Inspector's Profile to an ADEK Inspection Specialist for verification. 

Important!

 

Inspectors have different roles, and they must be clarified when the profile is created.

Roles include Lead Inspector, Team Inspector, Special Educational Needs Expert, and Early Years, Expert.

1.2. Updating an Inspector's Profile

If changes to a profile are necessary, an ISP or ADEK officer can make them. 

 

Steps to updating a profile:

 

  1. Sign in to Irtiqaa System
  2. From the left-side menu, click on "Profiles"
  3. Navigate to the selected profile 
  4. Make the necessary changes and click "Submit". 

2. Before Inspection

2.1. Creating an inspection

The first step is to create an inspection. This is done by the ISP.

 

Steps:

 

  1. Sign in to Irtiqaa System
    From the side left menu, click on "Create an inspection".
  2. In the plan visit screen, add the school's details: type, name, name of the principal, name of the school's inspection coordinator, inspection type, and the proposed start and end dates.
  3. Click "Submit," and the schedule will be sent for approval.

The newly created inspection will appear on the "Irtiqaa Inspection" list with "Under Specialist Review" status.

Important!

 

The procedures for inspecting private and government schools are the same, but the ISP must specify the school type when creating a new inspection.

2.2. Approving the inspection schedule

After the ISP submits an inspection for scheduling, it must be approved by ADEK in this order:

 

  1. Inspection Specialist
  2. Director

 

Important!

 

The schedule must be approved by both an Inspection Specialist and the Director.

2.2.1. Approval by an ADEK Inspection Specialist

Steps:

 

  1. Sign in to Irtiqaa System
  2. From the side left menu, click on "Irtiqaa Inspection" and check the scheduled inspections.
  3. Navigate to the selected school, expand and click "Approve" or "Request For Change" (if needed).
  4. If you click on "Request For Change", you should add comments to guide the ISP officer to make the appropriate changes.

2.2.2. Approval by the Director

Steps:

 

  1. Sign in to Irtiqaa System
  2. From the side left menu, click on "Irtiqaa Inspection" and check the scheduled inspections.
  3. Navigate to the selected school, expand and click "Approve" or "Request For Change" (if needed).
  4. If you click on "Request For Change", you should add comments to guide the ISP officer to make the appropriate changes.

 

2.3. Request a school's Internal Evaluation

After the inspection schedule is approved an Internal Evaluation is requested from the school by ADEK. 

 

Steps:

 

  1. Sign in to Irtiqaa System
  2. From the side left menu, click on "Irtiqaa Inspection" and check the scheduled inspections.
  3. Navigate to the selected school, which has the status: "Request Internal Evaluation"
  4. Click on "Request Internal Evaluation"
  5. Click "Confirm"


The schedule will be updated to "Internal Evaluation in Process" status and sent to the School Inspection Coordinator to be filled. 

 

2.4. Completing the school's Internal Evaluation form

As a School Inspection Coordinator, you will ensure that your school's Internal Evaluation form is complete and submit it prior to the inspection.

 

Steps:

 

  1. Sign in to Irtiqaa System
  2. From the side left menu, click on "Inspection."
  3. Navigate to your school, which should show the status of "Internal Evaluation in Process."
  4. Expand the request and click on "Internal Evaluation."
  5. The basic school information is pre-filled; review it and then click "Next".
  6. Fill in all of the applicable internal evaluation judgments and text fields on the form. This will take some time. Note that Phase 1 concerns the Kindergarten or Foundation Stage, which not all schools have. 
  7. Verify that all of the judgments and supporting text are correct and then click "Next".
  8. In the "Recommendations" field, fill in the recommendations for improvement and click "Next".
  9. In the "Documents" section, add all of the standard documents necessary for the inspection. 
  10. Click "Finish"


The Internal Evaluation and the other standard documents will be reviewed by the inspection team.
